Bulk Email Rules 2026: Gmail, Yahoo and Outlook

The sender rules for large mailings: SPF, DKIM, DMARC, one-click unsubscribe and spam-rate limits, and how to meet them.

In short

If you send more than about 5,000 emails a day to Gmail, Yahoo or Outlook users, you must authenticate with SPF, DKIM and DMARC, include one-click unsubscribe (RFC 8058) and honour it within two days, and keep spam complaints below 0.3%. Senders that miss these rules see mail rejected or sent to spam.

The rules in one list

  • SPF and DKIM on the domain you send from.
  • DMARC published for that domain, at least p=none, with the From domain aligned to SPF or DKIM.
  • One-click unsubscribe using the List-Unsubscribe and List-Unsubscribe-Post headers, honoured within two days.
  • Spam complaint rate under 0.3%, and ideally under 0.1%.
  • Valid forward and reverse DNS for sending IPs, and TLS for delivery.

Gmail and Yahoo began enforcing these rules for bulk senders in 2024, and Microsoft followed for Outlook.com in 2025.

How to meet them

  1. Send from a domain you own, never a free mailbox.
  2. Publish SPF and DKIM, then DMARC with reporting turned on.
  3. Use sending software that adds one-click unsubscribe headers.
  4. Warm up new IPs slowly, over two to four weeks.
  5. Clean your list before sending: remove bounces and addresses that never open.

Your list matters more than your server

Rules and servers only get you to the door. Inbox placement depends on people wanting your mail. Send only to people who opted in, verify old lists before a campaign, and stop mailing people who have not opened in six months.

Do these rules apply to small senders?

SPF or DKIM, valid DNS and low spam rates apply to everyone. The stricter DMARC and one-click unsubscribe rules apply to bulk senders, around 5,000 messages a day to a provider.

Can I use a purchased list?

No. Purchased lists cause complaints and bounces that damage your domain. Dataklo does not allow them on its sending servers.
